You sign a one-page scope agreement and pay a 50% deposit. For product conversions, you'll also receive a short UOM definition worksheet to complete with your Sage partner before work begins.

The ERP, accounting system, or spreadsheet you are migrating away from.

Examples: seafood priced per lb, meat purchased by kg, cheese sold by actual cut weight. These are called "catch-weight" items — common in food, seafood, and protein distribution. If you are not converting Products, select "Not applicable."

Examples: "1 case = 12 units", "1 pallet = 48 cases", weight conversions like "1 lb = 0.4536 kg". Are these stored as numbers in your system — or written into product names and descriptions? If you are not converting Products, select "Not applicable."

List every unit you can find — in fields, product codes, descriptions, pack size columns, or ordering fields. Don't worry about which is stock vs. sales vs. purchase, just list them all. Include units buried in product names (e.g. "12-Pack Bottle" implies both EA and CS need to be set up).

Custom fields often appear at the end of the template with names like ZZCATEGORY or ZZTYPE, or your partner may have described them as "fields we added for your business."

Duplicates — the same product, customer, or supplier appearing more than once under slightly different codes or names.

Export from Setup → Usage → Imports/Exports in Sage X3, or use the file your Sage partner provided. This file contains no client data — just the column structure. Accepted: .csv, .xlsx, .xls (max 10MB)

If your Sage partner has provided any UOM relationship chart, conversion table, or document showing how your units relate (e.g. EA → CS → PALLET), upload it here. If you don't have one yet, leave this blank. Accepted: .csv, .xlsx, .pdf, .png (max 5 MB)

Copy directly from Excel or your ERP export — include the column header row as the first row. Choose rows that represent your most common record types. For example, if converting products: one frozen item, one dry good, one catch-weight item if you have them. You can anonymize names if needed — keep all other fields intact. Blank cells are fine and informative.

Before You Reach Out

What do I need to submit a project?

Three things: your Sage X3 import template (exported from Setup → Usage → Imports/Exports, or provided by your Sage partner), a rough sense of your record counts, and 5 representative rows from your old system pasted into the form — no sensitive data needed, just headers and a few rows so we can assess data quality before quoting. Your full data export is only shared after scope and price are agreed.

Where do you serve clients?

Everywhere. We work remotely with clients across the United States and internationally. Sage X3 data engineering doesn't require a physical presence — it requires deep expertise, clear communication, and deliverables that are right the first time.

How do you price engagements?

Most data cleanup and import projects are fixed-fee based on scope. We review your template and send a written quote within 1 business day — no hourly surprises.

We're mid-project and our import files are failing. Can you still help?

Yes. This is a common situation — the further along you are, the more urgent it is. If your import files are failing validation or your data quality review is raising red flags, share your template and we'll tell you what it takes to fix it.

Do you work with Sage X3 partners/VARs?

Yes. We work alongside existing Sage X3 VARs and their clients as a data specialist — we're not trying to replace your VAR, we're delivering the clean import files they need.

What formats do you work with?

We accept data in CSV, Excel (.xlsx), and flat text files. We work with any source system that can export in those formats — legacy ERP, accounting systems, spreadsheets, and more.
